Draft, open, and closed

A draft belongs to its authoring unit and cannot be answered. Publishing changes the status to Open and makes the form discoverable by its addressed audience. Closing stops new answers while preserving visibility and responses.

A form with responses cannot be deleted from the editor; close it instead. This avoids orphaning permission slips or other consequential answers.

Question types

TypeUse
Short answer / paragraphSingle-line or long free text.
Email / phone / number / dateTyped inputs with relevant validation and keyboards.
Dropdown / multiple choiceOne option, compact or fully visible.
Tick all that applyAny number of options.
Single tick boxAcknowledgement or consent.

Conditional questions

A question may depend on an earlier choice or checkbox. Hidden questions are omitted from display, validation, and the submitted answer set.

The builder prevents a dependency from pointing forward. Reordering questions can invalidate a rule, so review conditions after structural edits.

Members versus public access

Members access requires an All Cadets session, and the selected audience acts as access control. Public access allows the link to be opened without an account; an optional access code can add a shared secret.

Public and member access are separate from who the form was intended for. A public form may still record that it was sent to named outside organizations or email recipients.

Audience targeting

A form can address a whole unit, structural groups such as a battalion or company, selected Cadets, another organization, or named outside recipients. Cross-unit publication names the reach before confirmation.

Drafts index only to the owner. Publication is the write that expands the reach index, preventing another unit from discovering an unpublished draft.

Response controls

Settings cover publication windows, access code, and whether a signed-in person may respond more than once. Validation runs at the submission boundary, not only in the browser.

The server re-evaluates audience and form status using the responder’s current identity and Cadet placement.

Responses belong to the authoring unit

Only the school that wrote the form can read its response table. A form sent to another school can be answered there without sharing the resulting dataset back to that school.

Responses render one column per question, can be removed individually by an authorized manager, and can be exported to CSV.
