How to use this guide
Start with
Identify the audience, publication state, owner, dates, and data that may safely be made public.
By the end
The tool has a clear lifecycle from draft through operation to closure, with public exposure deliberately controlled.
Creation permission and drive ownership differ
Can manage blood drives allows a Cadet to start a drive. The creator selects organizers, and those named Cadets may manage that specific drive without holding the unit-wide creation permission.
Instructors can manage every drive. Drafts are hidden from people who cannot manage them.
Set the drive basics
- Name, date, location, and donor goal.
- Cadet organizers responsible for the drive.
- Appointment slots and capacity.
- Invitees already expected to participate.
- The custom public signup questionnaire.
Build the signup form
The blood-drive form uses the shared form engine and can show later questions based on earlier answers. The appointment slot is supplied automatically rather than added as a custom question.
The editor warns about incomplete or risky form configuration before publication. Intermediate edits remain local until explicitly saved.
Publish the public signup
A Running drive exposes its signup URL and QR flow. Visitors do not need an All Cadets account. The page handles unavailable drives, missing slots, and full appointment inventory explicitly.
A successful signup produces a booking receipt with a bearer token so the visitor can return to their own appointment without an account.
Work the day-of roster
The operational roster combines invited and self-registered people. Managers can mark arrival, donation outcome, resting state, or nonattendance and can edit the individual record.
Summary tiles show signed up, arrived, roster size, gave blood, resting, and did not make it. These are derived from the live roster.
Close rather than erase history
Closing stops new public signups while preserving appointments and outcomes. A drive with meaningful roster history should not be treated like an empty draft.
Restrict exported or printed donor information according to school and partner policy.
Key terms in this guide
- Registration
- The request to create or connect a sign-in identity. It is not itself an active roster record.
- Change history
- The attributable sequence of previous values, new values, actors, and times behind official changes.
