How to use this guide

Start with

Identify whose data is involved, the unit responsible for it, the purpose, and whether this is support, privacy, security, or safeguarding.

By the end

The request follows the correct channel while access, retention, and disclosure remain proportionate to the need.

  1. 1.Active, dropped, deactivated, deleted
  2. 2.When a Cadet leaves the program
  3. 3.Access and deletion requests
  4. 4.Copies outside the platform

Active, dropped, deactivated, deleted

An active roster record represents a current Cadet. Dropping removes the Cadet from the active operational roster but preserves the record and history. Deactivating the account prevents sign-in.

Deletion is a separate privacy and records action. Do not treat a roster cleanup as a deletion request or delete a record merely because a Cadet temporarily leaves.

When a Cadet leaves the program

  1. 1Drop the record from the active roster.
  2. 2Remove current position assignments.
  3. 3Deactivate the sign-in account.
  4. 4Retain or dispose of exported copies according to school policy.
  5. 5Use the formal privacy route if deletion or access is requested.

Access and deletion requests

Privacy, record-access, and deletion requests go to privacy@allcadets.com. The requester may need to establish their identity and relationship to the record before information is released or removed.

Send only enough detail to locate the account or record. Do not email passwords or a broad export of Cadet information.

Copies outside the platform

Printed and exported rosters are outside All Cadets access controls. The school or unit must store, share, and dispose of those copies according to its own policy.

Use the smallest useful export and avoid retaining old copies simply because they are convenient.
